Regional Sales Coordinator


Reports to: Director of Sales & Marketing; Sales Manager(s)

Scope


The Rimrock Resort Hotel Sales Department and Fairmont’s Canada Western Mountain Region (Rimrock Resort Hotel, The Fairmont Banff Springs, The Fairmont Chateau Lake Louise, The Fairmont Jasper Park Lodge, The Fairmont Chateau Whistler) are seeking a high energy Sales Coordinator who is extremely dedicated to their job and is willing to go the extra mile and able to think out of the box. We are looking for a hospitality career professional, who is interested in beginning a career in Sales and Marketing and has a strong desire to excel, and exceed the expectations of our guests.


Duties and Responsibilities


Managing and tracking incoming telephone, email, and online sales inquiries directing to the appropriate Sales Manager and preparing a proposal within a 24-hour turnaround time
Creating proposals, estimates, and contracts based on individual client’s demands and Sales Manager negotiations
Managing follow-up correspondence requests for both proposals and contracts
Blocking guest rooms and function spaces in property management software based on contracts and client needs
Consulting General Manager, Conference Services and Chef for unique requests and pricing
Copying and distributing all pertinent data concerning booked activities to appropriate departments
Scheduling and conducting site inspections with clients
Preparing a variety of weekly and monthly Sales reports
Maintaining Sales collateral and creating and updating Power Point presentations for Sales and Conferences department
Providing administrative assistance as required to Sales Managers and Director of Sales & Marketing
Be an effective team player within the Sales team of Canada’s Western Mountain Region and with other team members in Catering and Conventions, Guest Services, Food and Beverage and other key areas within the hotel and the region
Actively seek opportunities to improve systems and procedures
Additional related tasks as assigned

Work Experience

Physical Demands


Significant sitting and using a computer and telephone
Occasional walking and standing
Occasional lifting and carrying items weighing up to 16 pounds / 7 kg
Occasional reaching above and below shoulder height

Qualifications

Completion of Grade 12 or equivalent
Post-secondary education in business is an asset
Minimum one year experience in hotel environment (ideally in Sales, Reservations, Conference Service or Front Office)
Strong computer skills with competency in Microsoft Excel, Word and Outlook
Excellent verbal and written communication skills
Demonstrates high attention to detail
Self-directed and efficient with excellent time management skills
Excellent organizing skills with the ability to successfully manage multiple tasks simultaneously
Knowledge of Opera Sales & Catering / Opera Sales Force Automation and Property Manager are assets
Capable of working effectively while under pressure
