About the Position

The Executive Assistant is a highly organized and dynamic person who will be supporting the senior management team in our firm. You will play a crucial role in ensuring the smooth operation of the office, facilitating communication and managing administrative tasks to enhance the productivity and efficiency of our executives.

This is a tremendous opportunity for a career-orientated person currently working in a professional industry to transition to a new career path in the financial planning and insurance world. This position will be reporting to the two principals of the company.

Responsibilities:

The Executive Assistant’s main responsibilities will include:

Combination of administrative and financial services such as performing trades and getting insurance quotes
Provide detailed and meticulous administrative support
Input a wide variety of client data onto our system in a timely and efficient manner and upload documents into our internal system
Prepare new and current client paperwork and applications to ensure accuracy for processing
Provide client life and living benefits illustrations
Attend client meetings with a financial planner and/or insurance advisor to take notes and assist with the opening of files when requested.
Preparing background information for client review meetings
Build and strengthen relationships with new and existing clients by providing excellent customer service and support.
Technology improvements and implementation within the office to increase efficiency
Marketing and communications including using various forms of social media

Required Qualifications and Skills:

Proven experience as an Executive Assistant or similar role, preferably in the finance or investment industry
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively
Strong verbal and written communication skills, with a professional demeanour
Proficiency in MS Office - Word, Excel, PowerPoint, Calendar, Teams and Mail.
Tech-savvy with the willingness to learn new programs
Ability to follow precise instructions according to client demands
High level of discretion and ability to handle confidential information with integrity
Excellent attention to detail and accuracy
Proactive problem-solving skills and knowledge to anticipate needs.
Ability to work independently, take initiative and collaborate as part of a team.
Team player that is enthusiastic about delivering results
Proficiency in English

Compensation and Benefits:

Salary based on experience plus commission
Extended Health and Dental Care
Vacation and Paid Time Off

Position Type: Permanent/Full-time

Hours of work: 40 hours/ week

Compensation: $50,000 - $60,000 annually. Eligible for benefits after 3 months.
