Description

The Reception & Groups Services Assistant is in a visible role, acting as the face of the General & Executive Offices, and assisting with groups and events at the Resort. This role assists the VP Sales, Marketing, Sponsorship & New Business, works at the direction of the Reception & Groups Services Coordinator, and alongside all departments.

Job Functions

Reception

Managing and overseeing all processes, correspondence, and appointments, at the Reception desk.
Manage, issue, and track: Contra, Corporate, Contractor, Complimentary Ticket issuances.
Perform a broad range of administrative duties and tasks, answering phone, transcribing voicemails, responding to emails, and maintaining various logs, statistics, reports.
Collecting and organizing information, requirements, and maintaining critical path components for potential and upcoming/schedule events.
Support the VP with management of events and corporate accounts.

Group Services

Once handed over from the Business Development and Groups Sales teams, working alongside the Groups Coordinator as a designated on-mountain contact to ensure arrival, stay, and departure for all groups is a rewarding, seamless experience.
Coordinating group functions, processing payments and product distribution. Preparing tickets, vouchers, doing the "meet and greet", reviewing itineraries, and acting as a knowledgeable Resort guide.
Assisting with event set up and implementation, including course set up and takedown, start lists, prizing.
Consistent, ongoing communication with groups, prior to and during their Resort visit.

Administrative Functions

Timely, complete, accurate documentation e.g., meetings, schedules, reports, incident reporting, health and safety hazard assessments.
Prepare and review group forms and internal function sheets.
Prepare complete and accurate revenue and cash reports, daily.
Complete end of day system procedures, including nightly processing.
Communicating and adhering to company initiatives, policies, and procedures.

Other duties may be requested and assigned from time to time.

Experience/Requirements

Post-secondary education in business is preferred, relevant experience will be considered. Industry experience, primarily in ticketing, sales, groups management, and customer service, is preferred.
Positive, mature, and professional attitude.
Must be organized, take initiative, and be able to work independently and with others, as required.
Prepared to work flexible schedules e.g., weekends, holidays, and extended hours may be required.
Calm under pressure and patient, with good time management skills.
Able to communicate effectively in English, both written and verbally.
Work in a confidential capacity.
Maintain professional conduct when knowingly acting as a company representative, on or off duty.
Effectively provide support and assistance to coworkers and a variety of guests, including children.
Attend and actively participate in meetings and training inside and outside of own department.
Must be neat, alert, punctual and dependable.
Advanced knowledge of Microsoft Office programs (e.g., Outlook, Excel, Teams, SharePoint) an asset.
Valid AB driver's licence and a clean driving record.

Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
Some uniform pieces are provided. A business casual approach under the Grooming Policy is required.
This role at times deals with sensitive, confidential information and is expected to adhere to high standards of professionalism and confidentiality.
