THE ROLE:

The role of the Reservations Sales Coordinator is charged with providing timely and professional reservations services and managing all related reservation functions including but not limited to; inventory control, training, rate and extranet management, third party distribution and Group bookings. Manage aspects of social media and marketing.

ACTIVITIES:

The duties and responsibilities for the Reservations Sales Coordinator include, but are not limited to the following:

Process all reservation requests, changes and cancellations received by phone, email or fax in a courteous, efficient and professional manner.
Process all direct and third party reservations in a timely and efficient manner.
Ensure all rates and packages are maintained in the various reservations systems.
Monitor web sites to ensure content, including images and descriptions are correct and up to date.
Ensure all Guest Services Agents are up-to-date on all local information, hotel services and the current packages, promotions and procedures.
Continuous review/auditing of the hotel systems on a daily, weekly and monthly basis to ensure accuracy of reservations data. These quality checks include but not limited to: Inventory/Availability, reservation accuracy for transient, group and FIT’s.
Monitor reservation inventory and block allotments to ensure maximum profit is achieved.
Conduct competitor pricing analysis to ensure best position is achieved with competitive set.
Process deposits as required for individual and group reservations.
Analyze social media data metrics and adjust strategies.
Maintain all hotel social media platforms, ensuring content is accurate. Proactively promote events all hotel services.
Assist with coordinating and implementing special sales promotions and packages.
Assist with group bookings as required by entering rooming lists, managing blocks and preparing group files.
Empowered as required to meet and/or exceed the expectations of internal and external guests.
Assist the Sales Manager & Director of Sales as required to complete daily, weekly and monthly tasks.
COMPETENCIES WE ARE SEEKING:

Previous hotel reservations or guest services background.
Hospitality related Degree or Diploma an asset.
Excellent communication skills, both written and verbal.
Professional, highly organized and result-orientated individual.
Knowledge of Opera Property Management System preferred.
Flexible and able to prioritize multiple tasks in a fast-paced work environment.
Proficient in Microsoft Office and various communication systems.
Strong team player.
