Job Summary
A great opportunity for a highly organized and community-minded individual with a passion for advancing gender equity and supporting leadership teams. The successful candidate will play a key role in supporting the CEO, senior leadership, and Board of Directors to achieve the strategic goals of YWCA Banff — a feminist organization working to shape a safe, inclusive community that empowers women and their community.

The Executive Assistant provides direct administrative support to the CEO and Board of Directors, fostering strong relationships and ensuring the organization operates smoothly and efficiently.

Day In the Life

Specific responsibilities include but are not limited to:

Board & Leadership Support

Provide administrative support to the Board of Directors, including recruitment, orientation, scheduling, minute-taking, and communication.
Coordinate monthly Board and committee meetings, the Annual General Meeting, and other public meetings.
Using the John Carver model, maintain all Board policies, records, and files in an organized online database.
Support the CEO and senior leadership team with scheduling, correspondence, and strategic initiatives.
Donor & Community Relations

Support the CEO and Board in engaging stakeholders, donors, and community partners in the mission of YWCA Banff.
Assist with donor communications, events, tracking donations, and follow-up.
Contribute to writing, editing, and research projects related to communications and fundraising.
Represent YWCA Banff at community events and assist with social media and marketing initiatives.
Administrative Excellence

Manage day-to-day administrative tasks for the CEO and senior leadership.
Support capital projects, grant tracking, and asset management.
Coordinate IT, phone, and external service contracts.
Maintain efficient systems that promote organizational effectiveness.
Participate in onboarding and organizational safety programs as required.
The Ideal Candidate Offers:

Post-secondary degree in a related field or equivalent experience.
Minimum 3 years’ experience in an administrative or executive support role.
Advanced proficiency in Microsoft Office.
Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
Excellent written and verbal communication skills.
Position Details:

This role offers flexible hours ranging from 20 to 37.5 hours per week, depending on the successful candidate’s availability and organizational needs.
Salary will be commensurate with experience and education.
Candidates with extensive, relevant experience may be eligible for compensation at the higher end of the range, even while working reduced hours.
