CAREER OPPORTUNITY (Part-Time 24 hours per week)

Bow Valley Adult Learning Centre is a not for profit organization, governed by a volunteer board of directors. We are part of the Alberta-wide Community Adult Learning Program (CALP) system, Foundational Learning & Skills Development Unit, Skilled Trades & Professions Division, Alberta Advanced Education.

We are recruiting for a:

Marketing & Administrative Coordinator:

(Rate of pay $21.00 - $24.00 per hour plus Wellness Spending Account)

The primary job tasks of this role are: (this is not a complete job description but rather the primary areas of responsibility)

Website Updates (this is completed a minimum of six times per year)
Monitor and report monthly on marketing initiatives and website analytics
Brand Management - ensure brand guidelines are followed by all employees
Creating, coordinating and distributing all marketing materials
Registering and receiving payments for learners as required. This includes completing a daily reconciliation.
Creating and distributing the learner Certificate of Completion after each term
In collaboration with the Program Coordinator and Executive Director, ensure evaluations are conducted for each class.
Enter all learner evaluation data into the database
In collaboration with the Executive Director, ensure business partners receive quarterly surveys
Ensure data entered into the database is accurate in preparation for the annual report to Advanced Education
Ensure all classes are properly entered into the database
Book rooms for classes as required
Prepare draft policies and standard operating procedures as required
In collaboration with the Executive Director, prepare presentations and reports as required
File maintenance, both hardcopy and organizational online workspace
Prepare office and classroom supply orders for the Executive Director’s approval
Order photocopy supplies as needed
Attend and actively participate in weekly administrative team meetings
Actively participate in creating and attending organizational events
The successful candidate will:

Complete their tasks and achieve their individual goals to ensure the organizational goals are met
Be comfortable working with various software systems and open to learning new systems. We encourage the use of technology in our daily work, this includes Google translate and ChatGPT. We use Google Workspace and Adobe Creative and Wordpress.
Be comfortable working in an inclusive and diverse workplace. This includes working with individuals and/or serving learners and clients with varied learning abilities, language levels, educational backgrounds, socio-economic backgrounds, gender (including non-binary) identities and ethnicities
While not required, past experience in an educational or civic agency setting is an asset as is working with or instructing English language learners.

While somewhat flexible, the hours are 24 hours per week Monday through Thursday. The administrative team consists of this role, the Program Coordinator and the Executive Director. The three roles ensure coverage of both our Banff and Canmore offices Monday through Thursday from Noon - 4:00 p.m. The position is based on working 48 weeks per year. The Adult Learning Centre is closed for two weeks over Christmas/New Years and the other two weeks are flexible. (Standard vacation pay applies).
