Description
The Events Coordinator is in a highly visible, guest-facing role, and is responsible for showcasing the highlights of the resort to guests and partners. This position is responsible for planning, coordinating, and hosting public events at Banff Sunshine Village. This position is responsible for coordinating the daily tasks and projects of other staff involved in public events. The position also assists the Sales and Marketing Department with other daily tasks, such as getting daily social media content, on-mountain branding and hosting media visits.
This position reports to Communications and Events Supervisor, and under the guidance of other senior personnel in Sales and Marketing.
Job Function
Communicating sponsorship, resort and industry partners to plan tours and events. Coordinate with other departments at the resort and external industry partners (Travel Alberta, Banff Lake Louise Tourism and Ski Big 3) to ensure tours and events are successful, while adhering to policies and procedures. Complete daily tasks and longer projects for public events or familiarization tours conducted on and off site by Sunshine Village.
Provide an outstanding guest experience by planning, promoting, executing, and hosting tours and events in a safe, effective manner.
Create and implement a monthly event plan for public with in the allotted budget with the goal of generating revenue and animation at the resort. Creating and implementing a Safe Work Procedure for events at the resort.
Providing quotes and invoices for Film Crews visiting the resort for projects. Communicate with and book talent, influencers and athletes for content projects and visits at the resort in accordance to budget and creative direction.
Assist to create and capture daily content at the resort for all of Banff Sunshine Villages Social Media platforms and post it online, in accordance with the Sunshine Social Schedule. Assist in monitoring Banff Sunshine Village Social Media platforms, respond to guests inquiries.
Performing site inspections for events. Assemble and operate events mobile stage trailer as per manual and training. Train and supervise staff on safe work procedures for events and marketing operations (sled training, skiing and riding responsibly, equipment checks, etc).

Administrative and Reporting Responsibilities:
Keep an accurate log of associated costs with tours and Events, including expense reporting and invoicing
Conduct pre-visit and follow-up communications with media, influencers, athletes and partners to ensure mutual brand exposure online.
Ensure the Marketing Storm Board and Height of Snow rulers in the snow plot are in best condition and cleared off regularly.
Produce and monitor online media and content needs for various Sunshine Village social media accounts to grow the brand and exposure.
Keep up to date on all Sunshine Village and industry news
Timely and accurate incident reporting to appropriate departments and personnel.
Ensuring company policies, including health and safety measures, and administration on the waiver/release program, for groups and events are consistently adhered to.
Other duties may be requested and assigned from time to time.
Experience/Requirements
Must be an expert level skier or snowboarder. Skiing or snowboarding for work requires completion of a competency test, skiing and riding professionally, and is restricted to designated runs.
Must always maintain professional conduct when in uniform, and when acting as a company representative.
Outgoing, positive, social, and friendly attitude.
Good time management skills, calm under pressure, and patient.
Knowledge of Microsoft Office suite of programs (Sharepoint, Excel, Outlook, etc.) is required, along with the ability to adapt quickly
to new programs and procedures.
Ability to work individually (self-starter) and as part of a team. Coachability and willingness to take direction are essential.
Prepared to work flexible schedules (evenings, weekends, holidays).
Prepared to work outdoors in all weather conditions.
Communicate effectively in English, both written and verbally.
Attend and actively participate in meetings and training.
Must be neat, punctual and dependable.
Additional Considerations
Employees must always be of sound mind, exhibit good judgment, and report to work fit for duty.
This position require will require overnight stays at on the mountain while hosting tours. In addition, this role may work at night,
and will be in a remote, alpine environment.
This role operates snowmobiles and company fleet vehicles.
This position may at times deal with sensitive, personal information and confidentiality must be adhered to.
Skiing or snowboarding equipment used for work must be in good operating condition, meet Sunshine Village Equipment
requirements, and will be tested throughout the season.
Required uniform pieces (liner, jacket, pants, toque) are provided. Employee must be prepared and wear appropriate footwear,
gloves, layers, etc. for the conditions.
This role is subject to all terms and conditions of the Sunshine Village Employee Handbook and Policy Manual, and the Alberta Employment Standards Code.
